NEW FEATURES ADDED FOR VERSION 2.78 - Released 10/11/00
IMPORTANT!!! There have been minor changes to the structure of a number of databases in this upgrade. You can download (save on your hard drive) the required upgrade file. However, you must
contact us prior to installing this upgrade so that we can walk you through a ten minute set of procedures. We will accept this technical support call on our technical support number (1-888-748-7166). Please have all users
logged off of ArchAdministrator prior to calling.
Accounting 1. The accounting module has been updated to allow the user to print a hard copy of Electronic Transfers and Cash Payments.
2. A minor bug in the check numbering sequence has been fixed. Prior to this upgrade, the bug would surface when the user attempted to include a check (that had already been assigned a custom check number by the user) in the
check printing sequence.
3. The "Outstanding Debits" view tab's name has been changed to "Checks To Be Printed". Please note that the view's function has not changed.
Billing Invoices 1. The Billing invoice module has been upgraded to allow the user to individually "Bill For" and track invoiced amounts for each supplemental service line item. This will allow the user to
determine which supplemental services have been invoiced and the amount billed for each invoice record.
2. A "Supplemental Services Breakdown" has been added to the "Project Payment Schedule" that delineates each supplemental service and the total amount invoiced to date for each SS line item. Please note that
the "Supplemental Services Breakdown" will only appear on the Project Payment Summary view if supplemental services have been invoiced for.
Correspondence 1. Check boxes have been added to the Correspondence Info view that allows the user to select predefined descriptions for the correspondence being created. The check boxes include the following options:
"For Your Information", "Per Your Request", "Review & Advise", and "Call Upon Receipt". Please note that a fifth checkbox has been provided that allows the user to enter a custom
checkbox title. The box will automatically be "checked" if the user enters a custom title or selects a title from the default drop-down list (that is based on previously entered titles).
2. The checkboxes listed above have been incorporated into the "Memo", "Fax Cover Page" and "E-Mail" views and will appear on printed hard copies of these documents. Please note that these
checkboxes will NOT appear (or print) on the "Letter" format view.
3. The "Sent By" box surrounding the correspondence Author's name has been enlarged to allow the author to enter his/her signature onto the printed hardcopy of a Memo, Fax Cover Page or Email.
Project Scheduler 1. Employees that have been assigned an access level that would normally denied them access to the Project Scheduler module will now be given the limited ability to view and/or print their own
"Daily Involvement/Task Report". This report lists all projects, phases, and daily hourly averages, start dates, end dates, etc. for scheduled tasks. This powerful feature will allow all employees access to thier own
daily schedule. However, they will not have access to overall project scheduling functions nor be granted access to task schedules for other employees.
2. The "Project Schedule" view has been revised to show custom phase schedules in the appropriate sorted order (i.e. Phase 1- first, Phase 2 - second, Phase 3 - third, etc.)
3. The number of task priority levels available to the user has been changed from 5 levels to 9 levels. This provides the user with more flexible scheduling options. Level 1 is now the lowest priority level and Level 9 is the
highest. The priority level numbering sequence has changed as follows:
Level Employee Work Percentage
9 90% of each workday 8 80% of each workday 7 70% of each workday
6 60% of each workday 5 50% of each workday 4 40% of each workday
3 30% of each workday 2 20% of each workday 1 10% of each workday
IMPORTANT NOTE: Please let us know (when you upgrade) if you had previously entered Tasks and Employee Involvements using the old priority level method so that we can update your existing priority levels to the new corresponding
levels.
4. A bug has been fixed that would surface when the user would attempt to involve employees in a task other than the first task listed for the project's phase. The user can now add an unlimited number of employees to any
task without receiving an error message.
Proposals/Contracts 1. A new feature has been added to Proposal/Contract module that allows the user to specify whether the default for time sheet Regular and Overtime Hours will be logged in as "Billable" or
"Non-Billable". The default setting for both of these default settings is "Billable" (checkboxes adjacent to "Reg Hrs Billable" and "OT Hrs Billable" in the "Contract Info" View
has a check mark appearing). The user can set the default setting to "Non-Billable" by un-selecting (no check mark) the checkbox. This feature allows the user to predefine the default settings for regular and overtime
hours logged in the Time Sheet Weekly Logs for each proposal/contract independantly. The user can override default values provided for a specific time sheet entry by selecting the "View Details" button that appears on
the "Weekly Time Sheet" view. Time sheet and project management summary reports (as of Upgrade 2.77) allow the user to analyze time sheet data using either "All" time sheet records or just
"Billable" time sheet records.
Time Sheet Weekly Logs 1. An additional filter has been added to the program that limits an employee's selection of projects when creating a new time sheet line item. An employee will not be allowed to enter time
for a project whose status has been set to "On-Hold", "Completed", or "Terminated" in the Project Management module. This feature will limit an employee's ability to log hours for projects no
longer "In Development".
2. An additional filter has been added to the program that confirms the total hours logged for the week when exiting the Weekly Time Sheet view. A warning message will now appear (when exiting the view) if the user logs a total
of 125% (or more) of their scheduled weekly hours stipulated in the Employee Information module.
Various Modules 1. Various revisions to remove minor bugs and improve user interface.
