NEW FEATURES ADDED FOR VERSION 2.79 - Released 11/21/00
IMPORTANT!!! There have been minor changes to the structure of a number of databases in this upgrade. You can download (save on your hard drive) the required upgrade file. However, you must contact us prior to installing
this upgrade so that we can walk you through a ten minute set of procedures. We will accept this technical support call on our technical support number (1-908-670-6839). Please have all users logged off of ArchAdministrator
prior to calling.
IMPORTANT!!! There has been a change in the way that ArchAdministrator handles your company's letter head design. ArchAdministrator now utilizes graphic images of your letter head that have been scanned or created in
image editing software (see "Firm Information" below for details). Please send us actual (hard copy) examples of your company's high quality pre-printed 81/2" x 11" letter head, 4" x 9"
Envelope (with return address), and 2" x 4" Mailing Label (with return address) if you have not already done so. We will scan these images into an appropriately sized "tiff" file (free of charge) and send
the images back to you via e-mail or cd-rom. Please include copies of all letter head designs you would like us to scan (up to nine styles maximum).
New!!! Firm Information - Multiple Letterhead Styles 1. The Letterhead Design view has been completely revised. The user can now paste Header, Footer, Envelope Return Address and Mailing Label graphic images into the
design. The graphic images can be obtained by scanning actual pre-printed letterhead or creating the letterhead in any graphics program like Photoshop, PhotoDraw, Corell Draw, etc. (save graphic image in a "TIF" file
format for best results). This powerful feature allows the user to setup ArchAdministrator to print the actual letterhead design without limitations previously imposed by the LetterHead design view.
2. The user can now setup and store a total of nine letterhead styles in ArchAdministrator! This powerful feature allows the user to create letterhead designs that reflect various firm names, locations, color schemes, etc. A
Letterhead Style dropdown has been added to many other modules (Invoicing, Clients/Contacts, Correspondence, Proposals/Contract. etc.) that allows the user to select the style of letterhead that will appear when printing
various documents.
Accounting 1. A minor bug in the Detailed Account Adjustment Summary has been fixed. Prior to this upgrade, the bug would surface when the user attempted to view the grand total of summarized account adjustments.
Billing Invoices 1. The way ArchAdministrator calculates the Administrative Late Fee has been revised. Previously the late fee was based on the actual number of days between the Original Invoice Date and the "Last
Sent On Date". Prior to this upgrade, the calculation would inherently pro-rate the Administrative Late Fee for the number of days beyond the 30, 60, 90, etc. day period if the number of days past due happened to fall
between two periods. This pro-rating had create some confusion in the minds of clients being billed and had created Administrative Late Fees that were unnecessarily precise (i.e. $12.37). ArchAdministrator will now round-off
the number of days past due to the highest completed 30 day period when calculating the Administrative Late Fee.
EXAMPLE 1: 29 days past due will now be calculated as 0 days past due (not 29 days past due) and "Days Past Due" text on the Actual Invoice will not appear.
EXAMPLE 2: 59 days past due will now be calculated as 30 days past due (not 59 days past due) and "Days Past Due" text on the Actual Invoice will read "Over 30 Days Past Due".
EXAMPLE 3: 61 days past due will now be calculated as 60 days past due (not 61 days past due) and "Days Past Due" text on the Actual Invoice will read "Over 60 Days Past Due".

Information above for additional info).
Database Compression 1. A new feature has been added to the Database Compression module that allows databases to be compressed using Approach 97 or Approach Millennium edition. Be sure to select the appropriate version
of Approach running on your computer (when prompted) prior to compressing any database.
Correspondence 1. A Letterhead Style dropdown has been added to the Actual Letter, Memo, Fax Cover Page, Email, etc. view that allows the user to select the style of letterhead that will appear when printing the
document (see Firm Information above for additional info).
Clients and Contacts 1. Sychronization Procedure for Importing/Exporting of Contact records from/to Outlook 98 & 2000 has been revised to work correctly on all Windows operating systems (i.e. 95, 98, NT, 2000).
2. The telephone number of the contact noted in a Conversation Log has been added as a reference so that the user does not have to return to the Contact's Information record to determine the contact's phone number for
dialing.
3. A Letterhead Style dropdown has been added to the Conversation Log, Envelope, Mailing Labels, etc. view that allows the user to select the style of letterhead that will appear when printing the document (see Firm Information
above for additional info).
Project Scheduler 1. The user can now view and/or print a linear chart depicting the project schedule that delineates all phases of the project (even if the project extends into multiple years). Simply select the print
button located on the Yearly Calendar view.
2. A print-ready version of the "Project Schedule" view has been created which allows the user to print a hard copy of the project schedule without the gray background that appears in the view.
3. The user can now view and/or print a summary of all scheduled holidays for a specified year.
4. The user can now view and/or print a summary of all scheduled employee vacations for a specified year.
Project Portfolio 1. A Letterhead Style dropdown has been added to the Portfolio Page view that allows the user to select the style of letterhead that will appear when printing the document (see Firm Information above
for additional info).
Proposals/Contracts 1. A new feature has been added to the Proposal/Contract module that automatically updates the Active Job Number for Projects stored in the Project Scheduler module. Projects in the scheduler, that
have been created prior to a Proposal being assigned an Active Job Number, will now be assigned the Active Job Number automatically (when a Proposal/Contract record is elevated to "Active" status).
2. A new feature has been added to the Proposal/Contract module that automatically deletes project Task and Employee Involvement records stored in the Project Scheduler module when the corresponding Proposal/Contract record is
deleted in the Proposal/Contract module.
3. A Letterhead Style dropdown has been added to the Estimated Fee Schedule, Auto Cover Letter, Follow-Up Letter, etc. view that allows the user to select the style of letterhead that will appear when printing the document (see
Firm Information above for additional info).
Time Sheet Weekly Logs 1. An additional feature has been added to the program that automatically sets the Employee ID number (for an employee with "Supervisory Status") to the Employee ID number of the
supervisor logged onto ArchAdministrator. This feature will eliminate the need for the employee with supervisory status to select his/her name from the drop-down list when creating or viewing a specific weekly time sheet for
himself/herself.
2. The user can now set a default Phase and a default Task description for any project line item contained in a Weekly Time Sheet. This powerful feature allows the user to set these defaults in advance of entering hours for any
day of the week contained within the project line item. The Phase and Task description will then be automatically entered for any hours logged within the project line item from that point forward.
3. The user will no longer be required to enter the phase for hours logged on a separate Phase/Services view. The user can now select the phase for hours being logged directly from the "Weekly Time Sheet" view.
Time Sheet Summaries 1. Reports that summarize employee "Hourly Cost" wages for projects will no longer be based on the employee's "Current Hour Cost" stipulated in the Employee Info module.
Reports that summarize employee "Hourly Cost" wages for projects (with an associated Proposal/Contract) will now be based on the the following calculation:
"Actual Hourly Wage" + ("Actual Hourly Wage" x ("Overhead" + "Profit" percentages stipulated in the Proposal/Contract))
This revised calculation method will provide employee Hourly Cost values that are consistent with the "Project Summary" data displayed in the Project Management module. PLEASE NOTE: Reports that summarize employee
Hourly Cost wages for "Office" hours logged will continue to be based on the employee's "Current Hour Cost" stipulated in the Employee Info module.
Transmittals/Repros 1. A Letterhead Style dropdown has been added to the Actual Transmittal, Envelope, Mailing Label, etc. view that allows the user to select the style of letterhead that will appear when printing the
document (see Firm Information above for additional info).
Travel Logs/Reports 1. A Letterhead Style dropdown has been added to the Expense Report, Field Report, etc. view that allows the user to select the style of letterhead that will appear when printing the document (see
Firm Information above for additional info).
